If census dipped last month, when do your numbers show it - this month, or next quarter?
For a home health agency, revenue moves with census and utilization, and billing rarely lands when the service happens. Operators in adjacent care businesses - assisted living, ABA, clinics, medical and dental groups - face related timing problems of their own. A generic monthly P&L can hide all of it.
The numbers that matter first
A monthly close package for a care business should put these on one page:
- census or utilization against plan, with revenue per patient day or per visit;
- payroll as a share of revenue, with overtime and agency staffing broken out separately;
- billing lag and days sales outstanding, so you can see collections slowing before cash feels it;
- billed revenue versus collected cash, reconciled, not assumed;
- cash runway at the current payroll cadence.
None of these requires fancy tooling. They require books that close on a schedule and a chart of accounts built around how a care business actually runs.
Close speed is a management tool
A close that arrives six weeks after month-end is history. Decisions about staffing, admissions, and payer mix cannot wait six weeks. A 12-entity healthcare organization we work with cut its monthly close from six weeks to ten days. The point is not speed for its own sake - it is that owners can act on numbers while they still describe the current month.
Multi-entity groups need one close, not twelve
Many care operators run several entities: an operating company per facility or program, a management company, a real estate entity. Each entity needs its own clean P&L, and the group needs a consolidated view that ties out. If entities close on different schedules with different account structures, the consolidated number is a guess.
What a lender reads in your books
When a care business applies for financing, the lender's questions are predictable: does the close arrive on time, does revenue tie to census, is payroll detail clean, and does the AR aging support the revenue. Books that answer those questions quickly make the process easier. Ask about a free 15-minute Lender-Ready Check - a lender's-eye review of your books.
